Compact the OST File:
a. Close Outlook to ensure that the OST file is not in use.
b. Open the Control Panel on your computer.
c. Search for "Mail" or "Mail (Microsoft Outlook)" and open it.
d. In the Mail Setup window, click on the "Data Files" button.
e. Select the OST file you want to reduce in size and click on the "Settings" button.
f. In the OST File dialog box, click on the "Compact Now" button.
g. The compacting process will start, which will remove any deleted or unnecessary data from the OST file.
h. Depending on the size of the OST file, this process may take some time to complete.
i. Once the compacting process finishes, click "OK" to close the dialog boxes.
j. Start Outlook and check if the size of the OST file has reduced.
Archive Old Items:
a. Open Outlook on your computer.
b. Go to the "File" tab and select "Options."
c. In the Outlook Options window, click on the "Advanced" tab.
d. Under the "AutoArchive" section, click on the "AutoArchive Settings" button.
e. In the AutoArchive dialog box, configure the settings to specify which items to archive, such as older emails or items in specific folders.
f. Choose a location to store the archived data file (PST) and set the frequency of auto-archiving.
g. Click "OK" to save the settings.
h. Outlook will automatically move the selected items from the OST file to the archive PST file, reducing the size of the OST file.
Delete Unnecessary Items:
a. Open Outlook and navigate to the folders within the OST file.
b. Identify and delete any unnecessary or redundant emails, attachments, or other items.
c. Empty the Deleted Items folder to permanently remove the deleted items from the OST file.
d. Be cautious when deleting items as they cannot be recovered once permanently deleted.
